Notice to All Valued Clients – UTH Offices Annual Shutdown

We would like to inform all owners about the upcoming annual shutdown of the Unlimited Townhouses Administration Centre. This year, our offices will be closed from 13 December 2023, Wednesday to 10 January 2024, Wednesday.

In preparation for this period, Owners will receive the December 2023 Levy statement during November 2023 and the January 2024 levy statement by no later than 13 December 2023. Any utility readings not available during this levy statement run will be accounted for in the February 2024 levy statement.

To access your levy statements, we encourage owners to use the electronic medium by providing your email address to the designated Portfolio Assistant. You can also find these statements on the respective Bodies Corporate UTH web page at www.uth.co.za.

We are excited to announce that in the coming year we will be transitioning to BCMTrac (www.bcmtrac.co.za) , a fully integrated sectional title system that offers a comprehensive range of features you’d typically expect in an application of this kind. This includes robust support for owners, trustees, supervisors, banking management, levy statements, and monthly management reporting and all of these will be accompanied by detailed reporting capabilities.

In the case of any real emergency repairs during this festive season, Owners are kindly reminded to take cognizance of what is deemed an emergency repair (example, burst geysers, leaking pipes, gates , access control  and  other  related  water  damages) please  contact  Flo  Botha  from  the  UTH Service Department on 083 216 2436 or via email at flo@uth.co.za.

Despite our offices being closed during the holiday season, rest assured that we will continue to provide emergency services on any other administrative requests that are deemed urgent such as payments to service providers or staff as we have done in the past. Define Roles Help Avoid Conflict

The managing agent and trustees form a collaborative team to ensure the efficient operation of the building. Just like any successful team, they need to rely on each other and have a clear understanding of each other’s needs and expectations. It’s best to establish a strong working relationship with the managing agent from the start, but it’s never too late to define how the two groups plan to work together.

Put Expectations in Writing

To prevent future misunderstandings, start by documenting expectations for the managing agent and the trustees. Establish a defined policy for gathering information and communication with the agent, along with regular performance reviews and meetings. This ensures that trustees collaborate with the chosen agent rather than working in opposition. Clear, written policies and procedures are essential for the board to have confidence that the managing agent will effectively implement their directives.

While the management agency has specific contractual obligations, it’s equally important for trustees to maintain realistic expectations. Trustees should be well-informed about the managing agent’s responsibilities outlined in the contract. This includes details such as the number of meetings to be attended and the designated portfolio clerk responsible for addressing owner complaints and queries, along with the associated policies and procedures. If the managing agents performance falls short of the written expectations, it is essential to communicate this with the managing agent.

It’s worth noting that if the board of trustees doesn’t fulfill its responsibilities, it ultimately harms their own interests. Managing agents cannot be expected to handle everything in isolation. By establishing these agreed-upon considerations, the board can have clear expectations and plan accordingly.

It’s essential to set practical deadlines, considering available resources, the time of year, and external service providers involvement.
